Privacy notice: the Pranava assistant on WhatsApp

Pranava Nature Cure, a residential naturopathy and yoga centre in India, runs an internal assistant that our owners and staff message on WhatsApp to look up and update our own bookings, subscriptions, invoices and to-dos. This notice explains what that assistant handles. It is not about the clinic's customers' health care, which this assistant never touches.

Who can use it

Only named members of our own team. A message from any other WhatsApp number gets no reply, and we keep only the last four digits of that number in a log.

What the assistant handles

  • From the people who use it: their WhatsApp number (kept in a private store, not in our code), WhatsApp display name, the text of their messages, the buttons they tap, and our replies.
  • From our own business records in Odoo: names, dates, amounts and statuses of bookings, subscriptions and invoices, shown only to team members who are allowed to see them. The assistant does not show customers' phone numbers or email addresses in its replies.
  • A record of each action taken: who, what, when and the result.

What it does not handle

No health or clinical information: no diagnoses, prescriptions, case notes or assessments. The assistant refuses messages of that kind and does not store them. It never accepts a PIN on WhatsApp.

Why

To run the centre's day-to-day operations quickly, with a record of who did what.

Who else processes it

  • Meta Platforms, through the WhatsApp Business Platform, carries the messages under its own terms.
  • Google Cloud runs the assistant and keeps short-lived working records and logs. For free-text requests, a Google AI model reads the text of the message and the data needed to answer it. Our database and the AI model run in Google's Mumbai region; the code that connects them runs in the United States.
  • Odoo holds our business records.

We do not sell this information.

How long we keep it

  • Text of free-text conversations with the assistant: 30 days.
  • Operational logs, which include the record of each action: 30 days.
  • Business records in Odoo: for as long as we need them to run the centre and meet our accounting obligations.

Your rights and how to contact us

You can ask us to show, correct or delete personal information we hold about you, or to stop you being a user of the assistant, and you can raise a complaint, by writing to admin@pranavanaturecure.com.

We will update this page when the assistant changes what it handles.
